Spell out the new day and date. “Next Saturday” can become confusing if someone reads the message later or forwards it. Include the end time as well as the start, especially when parents are dropping children off.

Postponing because of illness, without a new date

Hi everyone, we need to postpone [Child]'s birthday party because of illness in our family. Please do not come to [original venue] on [original date]. We have not confirmed a new date yet; I will send an update by [date]. We are sorry for the short notice and appreciate your understanding.

You do not need to include private medical details. Keep the message about the party arrangements. When you choose a new date, send it as a fresh update and ask who can attend rather than assuming the original yes replies still apply.

Rain plan: changing only the venue

Venue change for [Child]'s party — same date and time

Because of the forecast, [Child]'s party is moving indoors to [new venue and full address]. The date and time are unchanged: [date], [start time]–[end time]. Please use [entrance / parking details] instead of going to [original venue]. Please reply so I know you have seen this. Updated details: [event link].

If you are still deciding, send a heads-up with a decision time:

We are watching the weather for [Child]'s party on [date]. The current plan is still [venue and time]. I will confirm any change by [day and time] through [message channel]. Please check that update before setting off.

Do not label a tentative alternative as the confirmed venue. Keep one clearly stated current plan.

Last-minute change: ask for acknowledgement

For a change close to the start time, make the original plan unmistakable:

Please read before leaving: [Child]'s party has changed

Today's party will now be at [new location] at [new time], instead of [original location and time]. Please reply “seen” so I know you received this. If you cannot make the updated plan, let me know. You can reach me at [phone number].

A delivered message is not proof that a parent has read it. Follow up directly with families you have not reached. If some invitations went out through another parent or a class contact, ask that person to forward the corrected details through the same route.

Reach everyone who received an invitation

Use a short checklist:

  1. List the families invited, including those who have not answered.
  2. Update the event's date, time, location, and any conflicting text in the invitation artwork.
  3. Send the change through the channels you used to invite people.
  4. Record which families acknowledge the update and which need direct follow-up.
  5. Ask for a new attendance answer when the date or time changes.
  6. Check your venue, food order, and other bookings against the new plan.
